What is a Payment Gateway & How does it work?
In simple terms, a Payment Gateway is a link that connects your online store or eCommerce site to your bank account. A payment gateway provides a secure channel to transfer the digital payments made by a customer on a payment portal (eCommerce sites, mobile app) to the merchant bank account. A Payment gateway is a communication medium between the customer’s bank account and the merchant’s bank account.
A bank can also provide payment gateway services similar to other third-party payment gateway providers which are specialized in payment processing. The merchant has to pay a nominal fee to the gateway service providers as per the mode of payment used & the amount of payment.
Now, let’s see how it works
- A customer comes to an online store to purchase any item, make any purchase, and navigate to the Check Out section of the website.
- After pressing the Check Out button or any other similar type of button, the customer lands on a Payment Gateway service provider page where he/she has to provide payment information like debit/credit card details or net banking/UPI details, etc.
- The payment processor collects this information and communicates the same to the card-issuing networks ie. Visa, Mastercard, RuPay, Amex or Discover, etc.
- The card’s payment networks again route the payment information to the respective card-issuing banks. The bank responds to the payment information and accepts or declines the same to the payment processor via the authorization code. If an Amex or Discover card is used, then it directly acts as an issuing bank and responds to the same within its network.
- The processor communicates the same to the merchant website via the payment gateway. The merchant website then acts accordingly.
- The merchant submits all the successful batches to his/her acquiring bank for settlement at the end of the day. The bank again forwards the batch to the respective card-issuing banks for settlement. After the successful authorization, the acquiring banks settle the amount in the merchant’s accounts.
- The maximum time required to settle the amount to the merchant’s account is T+3. (T= Date of Transaction).

The documents required for the payment gateway vary with the type of business entity, i.e. individual, proprietorship company, etc. Most of the small businesses or startups come under the 4 categories, Individual, Proprietorship, Partnership Firm & Limited Liability Company.
All the payment gateway service providers support the digital submission of documents right from your PC or Laptop. The account and merchant onboarding process is completely online & paperless, with no need for physical verification of documents. - Authorization letter for the Signing Authority duly signed and stamped by all partners on the Firm’s letterhead.
- Copy of Partner’s PAN Card duly signed and stamped by Authorized signatories or partners.
- Copy of Address Proof of the Authorized signatory (Driving License/ Voter ID/ Adhaar Card/ Passport) duly signed and stamped.
- Copy of the Company’s PAN card duly signed and stamped by the Authorized signatory.
- Copy of Govt. proof of the firm duly signed and stamped by Authorized signatory (Trade License, registration certificate, etc. stamped by State/Central Govt).
- Copy of Partnership deed duly signed and stamped by the Authorized signatory.
- Copy of Certificate of Incorporation duly signed and stamped by all the partners.

PRIVATE LIMITED COMPANY
- Certificate of Incorporation duly signed & stamped by Authorised signatory.
- Copy of PAN card, the name associated with the PAN should match with “Business Name”
- GST Certificate, Provisional GST Certificate, Email Acknowledgement, or Declaration of GST Non- Non-Enrollment.
- Authorization letter for the Signing Authority duly signed and stamped by all Directors on the Firm’s letterhead.
- Copy of Board Resolution on Company’s letterhead duly signed and stamped by all the Directors.
- Copy of Govt. proof of the firm duly signed and stamped by Authorized signatory (Trade License, registration certificate, etc. stamped by State/Central Govt).
- KYC of Authorised Signatory.
- Shop Photo.
- Canceled cheque of the bank account or Account Statement duly stamped by the bank. IFSC code and Name should be printed.
After uploading all the documents, you have to generate and download the Merchant Agreement Declaration (MID) Form. The MID needs to be affixed with Stamp Paper. The Stamp Duty will be as per the Indian Stamp Act, of 1899. In general, it should not be less than INR 100.
The authorized signatory has to sign all the pages of the Merchant Agreement Declaration Form along with the Firm’s stamp if applicable. The signed MID form again has to be uploaded on the payment gateway service provider’s website.
Please remember that A current Account is a must to start a Payment Gateway service from any third-party gateway provider for business entities other than in the name of an individual.

Factors for considering the Right Payment Gateway
Before selecting the right payment gateway service, you first analyze your needs and business requirements. If you are expecting a small online turnover, then it will not be a wise decision to select any high-cost Enterprise-level plan.
Payment Gateway provides you a digital payment solution for your eCommerce site. Some gateway providers might give you the complete software packages including free setup & annual maintenance cost, support, and security, instead of the only gateway access. Therefore you must carefully analyze the right type of payment gateway for your small business.
- Fees: Before setting up any type of payment gateway service, the fee structure of the company must be considered. Some company offers free setup or free of any annual maintenance charges. But No one in this World gives you a free Payment Gateway Service. They deduct the charges from the debit or credit card transaction. Therefore, you must consider what percent of charges the company will deduct from a transaction made via Debit/Credit Card, net banking UPI, etc. There is also a different fee structure for Visa/Mastercard cards Rupay Card Payment Debit or Credit Card payments or payments made through Netbanking.
- Recurring Billing Option: Ask your gateway provider whether they will give you the recurring payment option or not. Some gateway providers won’t give you the recurring payment option. If you run a subscription type of service where your customers have the payment option on a weekly or monthly basis, then you must consider selecting a recurring payment option in your Payment Gateway.
- Settlement Period: Settlement period, i.e., you must consider after how many days, your payment will get credited or settled to your Bank Account. Some Gateway Payment providers in India settle your money on a T+2 or T+3 days basis. Here T is the Transaction days plus the number of days. The shorter the period, you will settle your money in your Bank Account.
- Ease of Integration: How easily the Payment gateway integrates with your WooCommerce site or online store, you must take into consideration. Your Payment gateway integration should be hassle-free with the minimum documentation process. Otherwise, you have to depend on developers, which may cost you more. If you are planning to build the store on WordPress, then you will find WordPress Plugins from most of the gateway providers.
- Company Background: Before selecting the Payment gateway, you must consider the Payment gateway providers’ trustworthiness. You must check the company background, read user reviews who already have experienced the quality of service of the gateway provider, for how many days they are in a similar field, etc.
- Acceptability: You must verify if the gateway solution provider accepts all types of cards like Visa, MasterCard, or Rupay cards or if they can process the transaction from NetBanking, mobile wallet, or UPI payment.
